What is it?
An attendance record is a summary of who actually came to an event. It is different from an RSVP, which only says who planned to come.
Each attendance record holds:
- The event it belongs to.
- The list of people who attended.
- The checked-in count.
- The no-show count, for people who registered but did not arrive.
- Notes about the day.
When do you use it?
You use an attendance record after an event, or during it, to capture what really happened. You use it to:
- Know how many people came compared with how many registered.
- See which people are regular attendees and which are new.
- Plan food, seating, and support for future events.
- Feed accurate numbers into community reports.
Example
James is a support worker. He runs a weekly social group. Each week he opens the event and creates an attendance record. He sees that six people confirmed, five attended, and one did not show up. Over a month, James can compare the records and see that attendance is growing.
