Send notifications and broadcasts

Purpose

Messaging keeps the community informed. This guide shows you how to send a notification to one person, send a broadcast to a group, and help people control the messages they receive.

Who this is for

This guide is for administrators, coordinators, and support workers who need to reach people with important information.

What you need

• Access to the Messaging menu.
• The message you want to send.
• The person or group you want to reach.
• People's subscription settings so you respect their choices.

What you will do

1. Review a person's subscriptions.
2. Send a notification to one person.
3. Send a broadcast to a group.
4. Confirm the message went out.
5. Follow up if a message is important.

Instructions

To review subscriptions:

1. Open the person's record.
2. Select Subscriptions.
3. Review the interests and channels the person chose.
4. Respect their choices when you send messages.

To send a notification to one person:

1. Open the Messaging menu.
2. Select New notification.
3. Select the person in the Person field.
4. Write the message in the Message field.
5. Select Send.

To send a broadcast to a group:

1. Open the Messaging menu.
2. Select New broadcast.
3. Enter the subject in the Subject field.
4. Write the message in the Body field.
5. Select the target interests in the Target interests field.
6. Select the target regions in the Target regions field.
7. Select Send.

To check that a message went out:

1. Open the broadcast record.
2. Review the Sent status.
3. Check the message details if you need to confirm what was sent.

What happens next

The person sees the notification, and it shows as read or unread in their inbox. A broadcast is sent to everyone who matches the interests and regions you chose. The record keeps the subject, body, targets, and send time.
