Set up a support arrangement
How a coordinator assigns a support worker to a beneficiary for a set period.
A support arrangement is the record that assigns a support worker to a beneficiary for a set period. It names the beneficiary, the support worker, the organization, and the role. It has a start date, an end date, and a status.
The coordinator sets up the arrangement. In the examples, Aroha is the coordinator, Wiremu is the beneficiary, James is the support worker, and Provider A is the organization that employs James.
Purpose
This guide helps a coordinator set up a support arrangement. After following it, the support worker is assigned to the beneficiary for the period you set.
Who this is for
This guide is for a coordinator who arranges support for beneficiaries.
What you need
- Your Community OS identity. Read the guide to create your identity first if you do not have one.
- The DID of the beneficiary receiving support.
- The DID of the support worker.
- The DID of the organization providing the worker.
- A decision on the role, the start date, and the end date.
What you will do
- Open the arrangement form.
- Enter the people and the organization.
- Set the role and dates.
- Confirm the arrangement.
- Confirm consent is granted.
Instructions
- Sign in to Community OS.
- Open Support arrangements.
- Select New arrangement.
- Enter the beneficiary's DID as the subject. This is the person receiving support.
- Enter the support worker's DID.
- Enter the organization's DID. This is the organization providing the worker.
- Select the role. Select support-worker for a support worker.
- Set the start date. The arrangement begins on this date.
- Set the end date. The arrangement ends on this date.
- Review the details. Check every DID and the dates.
- Select Confirm.
The arrangement is now active. Status: Active.
- Confirm the beneficiary has granted consent to the worker. The worker needs both the arrangement and an active consent to open the beneficiary's records. Read the guide to grant consent if consent is missing.
What happens next
- The support worker is assigned from the start date to the end date.
- The worker can open the beneficiary's support plan while the arrangement is active and consent is granted.
- The arrangement ends on its end date. Status: Ended.
- You can cancel an arrangement early. Status: Cancelled.
Troubleshooting
- Problem: you entered the wrong DID. Fix: edit the arrangement and correct the DID, or cancel it and create a new one.
- Problem: the worker cannot open the support plan. Fix: check the arrangement is active and within its dates, and that the beneficiary granted consent.
- Problem: the arrangement must end now. Fix: set the status to cancelled or set the end date to today.
- Problem: the role is not listed. Fix: use the closest role and note the difference, or ask your administrator.
