What is an RSVP?

An RSVP is a person's response to an event invitation, telling the organisers whether they will attend.

What is it?

An RSVP is a person's reply to an event invitation. It tells the organisers whether the person plans to attend. An RSVP can be Confirmed, Pending, or Cancelled.

The RSVP record also holds extra information the organisers need, such as:

  • The number of extra people coming with the person, called plus ones.
  • Accessibility requests, so the event can be made welcoming.
  • The time the person responded.

Two related records support the RSVP. A check-in records that the person arrived on the day. A waitlist holds people who want a place when the event is full.

When do you use it?

You use RSVPs whenever an event needs to know who is coming. You use them to:

  • See how many people plan to attend.
  • Plan seating, food, and support.
  • Give an accurate count to venues.
  • Follow up with people who have not responded.

Check-ins are used on the day of the event to record who actually arrived. The waitlist is used when the event is full.

Example

The community centre publishes a whanau day and invites families to register. Hana responds for her whanau and says she will bring two plus ones. She also adds an accessibility request for a quiet room. On the day, Hana checks in with her family. The organisers can see Hana's RSVP, her check-in, and her accessibility request all in one place.
